Summary
We are looking for an organized, adaptable, and people-oriented Finance & HR Assistant to provide operational support across two critical functions at DI. This role sits at the intersection of people operations, finance administration, and workplace coordination — making it ideal for someone who thrives on variety, takes pride in getting the details right, and genuinely enjoys supporting others.
This is a hybrid position based in Colchester, VT. The expectation is a minimum of two days per week onsite, with flexibility to be in the office up to five days per week as work needs require.
- Essential Functions and Responsibilities:
- HR Operations & Employee Support
- Maintain and organize employee files — both physical and online — in compliance with applicable regulations and company standards, ensuring records are current, complete, and audit-ready.
- Maintain and organize HR SharePoint content, including employee-facing resources, templates, forms, process documentation, and internal HR materials, to ensure information is accurate, current, accessible, and aligned with established content standards.
- Support recruitment coordination, including background check coordination, candidate travel, and related documentation.
- Support HR contract review and process administration by tracking approval status, maintaining contract-related documentation, and ensuring completed agreements are stored appropriately.
- Complete employment and wage verifications in accordance with company policy, ensuring timely responses and appropriate documentation.
- Finance Backup Support
- Provide administrative support to the Finance team, including invoice mailing and document management.
- Facilities Coordination
- Serve as a day-to-day point of contact for facilities-related needs, including coordinating maintenance requests, managing vendor relationships, and ensuring common areas are functional and well-maintained
- Support space planning and office logistics for in-person meetings and events
- Manage office supply inventory and procurement
- Shipping & Hardware Production Support
- Provide backup support to DI's hardware production and shipping team
- Ensure accuracy and timeliness of shipments, coordinating with carriers and internal stakeholders
- Meeting & Administrative Coordination
- Coordinate scheduling and logistics for executive meetings, events, and cross-functional sessions owned by HR.
- Prepare agendas and track follow-up actions as needed
- Handle incoming mail in the VT office, receive packages/inventory, and route inquiries to the appropriate teams
- Requirements
- Knowledge, Skills, and Abilities:
- Strong organizational skills and an ability to manage competing priorities with accuracy and follow-through
- Comfort working across functions — you enjoy knowing a little bit about a lot
- Technically adept. Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams); experience with an HRIS such as Workday is a plus
- Excited about using AI to make your job more efficient
- Exceptional ability to maintain confidentiality — this role regularly handles sensitive employee, payroll, and financial information, and discretion is non-negotiable
- A collaborative, service-oriented approach — you take pride in making things easy for the people around you
- Strong written and verbal communication skills
- Possesses a strong aptitude for technology with the ability to quickly master and integrate tools relevant to the role
- Must comply with and pass initial background check and drug screening, as well as subsequent background checks, drug screenings, and vaccine requirements as required by customer contracts
- Ability to follow DI’s policies, procedures, and system usage practices
- Must have unrestricted work authorization in the United States
- Willingness to be physically present in the Colchester office a minimum of two days per week, and more as needed
- Available for up to 10% travel as needed
Education and/or Experience
Bachelor's degree and 2+ years of experience in an administrative, HR, finance, or operations support role, or a related field and 5+ years of relevant work experience.
Physical Requirements/Working Conditions:
While performing duties of this job, the employee is predominantly functioning in a sedentary light office position with a high frequency of keyboarding and computer us e.
- Preferred skills and experience:
- Experience supporting administrative, HR, finance, or operations functions.
- Experience with an HRIS such as Workday.
- Interest in using AI and other technology tools to improve efficiency.
Supervision Level
This person reports directly to the VP of Finance .
- Compensation & Benefits
- Hourly Rate Range: $29.40-33.00. Compensation will be determined based on education, experience, knowledge, skills, and abilities, as well as internal equity and market data.
- Bonus: Full-time, non-sales employees are eligible for DI's annual bonus plan, which takes into account individual, group, and corporate performance.
