We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to the Vice President of Global Finance and Strategy. This position will serve as a trusted partner by managing priorities, coordinating schedules and travel, facilitating communication, and ensuring the executive is prepared for key meetings and business activities.
The ideal candidate is polished, resourceful, and comfortable handling confidential information with sound judgment, professionalism, and discretion. - What You’ll Do
- Manage and maintain the executive’s calendar, including meetings, appointments, conferences, and timely reminders.
- Coordinate and prioritize incoming and outgoing communications, including email, phone calls, and written correspondence.
- Coordinate domestic and international travel, including flights, accommodations, ground transportation, travel documentation, and detailed itineraries.
- Prepare and submit Concur expense reports on behalf of the executive.
- Manage company corporate credit cards in accordance with established policies and procedures, including monitoring transactions, reconciling statements, maintaining accurate documentation, and ensuring timely submission of receipts.
- Create purchase requisitions and purchase materials for the assigned department, as needed, using IFS.
- Organize and maintain electronic and physical records, documents, and files.
- Coordinate meetings, conferences, tradeshows, and events, including agendas, meeting materials, venues, logistics, and meeting minutes when required.
- Monitor expense reports for accuracy, budget alignment, policy compliance, and timely submission.
- Maintain and submit personal expenses to the Finance team in accordance with established deadlines.
- Anticipate administrative needs, resolve challenges, and help ensure the executive’s time and priorities are managed effectively.
- Maintain the highest level of confidentiality when handling sensitive business, financial, and personnel information.
- Build strong working relationships across the organization and help facilitate clear, timely communication.
- Support a culture of trust, accountability, autonomy, and long-term thinking.
- What You Bring
- Bachelor’s degree in Business, Business Administration, or a related field preferred; equivalent experience will be considered.
- Five or more years of related executive or administrative support experience preferred.
- Experience coordinating domestic and international business travel.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite and other standard business technology.
- Ability to manage multiple priorities while maintaining accuracy and attention to detail.
- Professional presence, sound judgment, discretion, and strong ethical standards.
- Strong problem-solving skills and the ability to work independently.
- A proactive, self-directed approach with the ability to anticipate needs.
- Flexibility and adaptability in a changing, fast-paced environment.
- Experience with IFS, Concur, Salesforce, and corporate credit card administration preferred.
