Senior Associate, Onboarding Specialist
Job Description:
The Senior Associate, Onboarding Specialist is designed to support a best-in-class new hire experience at HITT. This role will be the primary contact for new hires nationwide, their hiring managers, and various internal business stakeholders to ensure a seamless experience from signed offer to start date. This individual will guide new hires through pre-employment requirements, ensure managers are equipped to successfully onboard a new team member, and answer any questions or concerns throughout this phase.
The Senior Associate, Onboarding Specialist contributes to the new hire experience, onboarding strategy, and is responsible for leading all pre-employment processes and coordination with candidates, hiring managers and internal stakeholders. This role also manages a team member responsible for onboarding at one of HITT’s wholly-owned subsidiaries.
The ideal candidate will be empathetic, caring, and passionate about the holistic employee experience. They will be resourceful, quick learner, and comfortable juggling multiple projects at once. This role requires excellent attention to detail and organization skills, as well as a keen eye for creating meaningful experiences.
This role reports to the Senior Manager, HR Compliance within the Human Resources department and will partner closely with our Recruiting team, HR Business Partners, Talent Development, and Engagement teams to gather and assess new hire feedback and execute future improvements to their onboarding experience.
- Responsibilities
- Acts as the first line of support to candidates in the process of onboarding or have newly begun employment with HITT helping to ensure their access to vital information and creating the best first impression possible through white glove service and engagement.
- Lead pre-employment coordination, guiding new hires through required screenings, employment authorization, and onboarding paperwork while tracking completion and resolving outstanding items.
- Execute and audit Workday hiring transactions, ensuring job, compensation, new-hire information, required approvals, and onboarding tasks are accurate and completed timely.
- Manages a regional-based onboarding Associate to support a consistent, thoughtful onboarding experience for our self-perform craft population employed with wholly-owned subsidiary.
- Maintain accurate onboarding records and support the Senior Manager, HR Compliance with new hire metrics for annual and semiannual reporting.
- Lead cross-functional coordination with hiring managers, IT, Administrative Services, and other internal teams to ensure a seamless first-day experience for each new hire.
- Manage and coordinate pre-employment escalations, partnering with HR Business Partners, Recruiting, and business leaders to evaluate screening results, gather necessary information, document findings, and facilitate appropriate next steps in accordance with HITT policy and compliance requirements.
- Partner with HR stakeholders to gather and assess onboarding feedback, identify process gaps and inefficiencies, and implement improvements that enhance both the new-hire experience and operational effectiveness.
- Contribute to additional HR projects and team priorities, as needed.
- Qualifications
- Bachelor’s degree in Business, Hospitality, HR, or other relevant area of study required.
- 5+ years of experience in a corporate setting required.
- Experience with Workday preferred .
- Proficiency in Microsoft Office Suite is required.
- Strong verbal and written communication skills are required.
- Previous presentation experience desired.
- High attention to detail is required.
- Ability to work autonomously and self-direct priorities is required.
- Previous people leadership experience is a plus.
- Spanish speaking and writing literacy proficiency is a plus.
- Critical thinking and willingness to go the extra mile, giving even the smallest tasks a high level of attention.
In accordance with Virginia Senate Bill 215 (SB 215), the base salary range for this position is:
$77,000.00 - $112,000.00
Compensation in other cities and states may vary. HITT Contracting offers a competitive total benefits and compensation package including performance-based bonuses, premium health care coverage including vision and dental, employer-matched 401(k), wellness reimbursement program, paid holidays and time-off, and other voluntary benefits and leave types. The determination of salary is based on the candidate’s individual professional experience, qualifications, education, skills, and training.
